How To Hire Headphones – A Quick Guide

Booking Headphones

If you’re a UK customer you can simply arrange the hire and payment of the headphones and any audio accessories you need via Place Over Ears exclusive online headphone hire store. No hassle, no fuss.

Once your order is placed, we’ll contact you to confirm that your hire order has been accepted (or not). If for any reason we’re unable to arrange your hire, we’ll let you know within 24 hours of your order being placed, so that you can seek alternative arrangements. It’s also important to be aware that all hire orders are subject to our terms and conditions of hire.

VAT isn’t applicable to any hire prices you see on Place Over Ears, the price you see is the price you pay, nothing more.

Rental Deposits

We request a small, refundable deposit for each piece of equipment you rent from us. You can see these amounts in your shopping basket, and we don’t charge your payment method for these deposits at the time of your order.

Deposits are chargeable if you;

  1. Return the hire headphones and their accessories later than we agreed
  2. If you fail to return the kit’s accessories, manuals, etc.
  3. If you return the audio equipment with cosmetic damage, or if it is heavily soiled.

Lost, Theft or Total Damage

The vast majority of headphones hires run without glitch. In the very rare case of either loss, theft, or total damage of rented headsets, we’ll calculate a final charge to replace the headphones, which will be;

For any non-Place Over Ears branded kit;

  • The price we paid for the headphones less any discretionary amounts we agree
  • Plus, an administration charge of £15.00 to re-order a replacement product(s)

For Place Over Ears branded equipment;

With this in mind, if you’re working or travelling with our hire headphones, it’s well worth arranging suitable event or personal insurance for any potential loss or theft.

Late Returns

Late return fees are chargeable if the hired equipment does not begin its journey back to us on the working day that follows your last day of hire.

For each day that the kit is delayed in return we will charge a daily late return fee. This charge is the equivalent of a daily hire fee for a hire period that would last 4 days. We’ll continue to charge this late penalty for up to 21 days of delay in return.

So that you don’t miss your hire return date, we make these 4 communication commitments to you;

  1. That we will state clearly on your rental invoice the start and end dates of your rental
  2. State on our website, clearly during your shopping visit, the estimated date that the equipment should start its return to us or the date it will be collected from you
  3. Communicate clearly on your order confirmation email, the estimated date that the equipment should start its return to us or the date it will be collected from you
  4. Automatically send you a reminder email on your last day of hire that it’s ‘Your Last Day of Hire’ and that the equipment should start its return to us or that it will be collected from you the next working day

Other Charges

Missing or Damaged Accessories

If the headphones accessories (cases, cables, adaptors, etc.) are missing or damaged. To replace these accessories, we charge;

  • Hard carry cases – £22.00
  • Soft carry pouches – £18.00
  • Leads – £10.00
  • Adaptors – £10.00
  • Instruction manuals – £10.00

Equipment Soiling

Light soiling will be cleaned free of charge and is part of our hygiene standards.

However, if the headphones are excessively stained (food, liquids, etc.) and its performance has not been affected, as a minimum we will charge a standard £15.00 cleaning charge.

If the item has been damaged by excessive soiling and or wear and tear (beyond what could be considered reasonable), the item may be identified as irreparably damaged and we may seek reimbursement for the loss of the product or any replacement parts, as well as an administration fee of £15.00.

Secure Delivery

Delivery normally takes place the working day before your first day of hire. We’ll automatically email you the consignment tracking number.

Return or Collection?

  • If your consignment is under 3.62kg, you will use the pre-paid Yodel Collect+ label that arrived in your hire box.
  • If your consignment is 3.62kg or over, we will arrange the collection of your consignment.

Yodel Collect+

  1. Carefully pack up all items, accessories and instruction manuals
  2. Give the box a gentle shake. No movement inside? That’s a sure sign of success
  3. Securely affix your Collect+ label to your box and locate your nearest Collect+ outlet
  4. Request and retain your despatch receipt and tracking number as you may need them in the event of a claim. You can track your parcel at Collect+.

If we are Collecting

We will arrange to collect your hired products by contacting you and emailing you a collections label for a trusted delivery company (DHL, DPD, etc.). Please ensure that

  1. Carefully pack up all items, accessories and instruction manuals
  2. Give the boxes a gentle shake. No movement inside? That’s a sure sign of success
  3. Securely affix your collection labels to all the boxes in your consignment
